Administrative Assistant- Full-Time - Fire Department

This position requires a dependable, friendly, results oriented, helpful administrative professional with advanced Microsoft Office Word and Excel skills.  

HOURS: Monday to Friday 8am to 5pm 

HOURLY PAY: $16.59

MAJOR DUTIES:

Performs receptionist duties, including greeting the public, answering main phone line, transfers calls to correct personnel or location.

Coordinates and implements office services such as payroll, purchasing and archival records.

Gives direction and guidance to the general public regarding City policy, departmental information and various agencies that can be contacted to resolve issues or questions.

Provides administrative and clerical support to department personnel which includes making copies and room set-up.

Performs filing and maintains department files.

Creates, composes and edits complex spreadsheets, administrative correspondence and documentation. 

Must demonstrate excellent attendance, professionalism and a helpful attitude with co-workers and customers.

Performs other duties as assigned.

MINIMUM QUALIFICATIONS:

High school diploma or GED. Some college is a plus. 

Two years experience working as a clerk or assistant in an office setting, to include records management, contact with the public and utilizing computers. Must have intermediate to advanced knowledge of Microsoft Word and Excel to include creating spreadsheets, mail merge and other functions. Candidates will be tested on Microsoft programs to ensure proficiency. 

KNOWLEDGE AND ABILITIES REQUIRED:

Ability to operate a business phone system and handle a multi-line phone.

Ability to provide quality customer service to City personnel and the general public.

Ability to work independently, maintain good organizational skills and be detailed oriented.

Ability to communicate effectively both orally and in writing.

Ability to use computers and various software programs, to include Word, Excel and MS Publisher and PowerPoint. Must have intermediate to advanced level in Word and Excel.

This position reports directly to the Administrative Coordinator. 

PHYSICAL DEMANDS

While performing the duties of this job, the employee is required to sit, walk and/or stand for the entire shift. Must be able to reach with hands and arms, type, stand, bend, walk, talk and hear. The employee must be able to occasionally lift up to 20 pounds.

WORK ENVIRONMENT

The work is typically performed in an office within the Fire Station.
